Bodega Public Relations is seeking a highly organized, proactive, and versatile Operations Manager to support our fast-paced, dynamic team. This role encompasses a wide range of responsibilities, including project coordination, financial tracking, scheduling, HR support, executive assistance and client-facing tasks, ensuring smooth daily operations and exceptional service delivery.
The ideal candidate thrives in a fast-moving environment, anticipates needs, and is eager to take ownership of administrative and operational processes. This is a hands-on, “do-it-all” position for a motivated professional ready to lead administrative operations and contribute to the overall efficiency and success of our team.
Key Responsibilities
Administrative & Financial Support
Track and manage budgets across multiple projects and clients, ensuring accuracy and timely reporting.
Process on-site payroll and maintain precise employee records.
Generate, issue, and manage invoices; monitor overdue payments and follow up as necessary.
Coordinate payments to clients, contractors, and vendors, maintaining financial accuracy.
Draft, review, and process vendor contracts in collaboration with relevant stakeholders.
Maintain and reconcile team expense reports.
Conduct research and assist with writing and submitting grant applications.
HR / People Operations
Assist in recruiting, hiring, and onboarding new team members.
Maintain employee records, ensuring accuracy, confidentiality, and compliance with legal requirements.
Support performance review processes, training, and employee development initiatives.
Help implement HR policies and procedures to ensure consistency and compliance.
Serve as a resource for team members regarding HR questions, benefits, and internal policies.
Office & Operations Management
Oversee office supply inventory; order and restock as needed to maintain smooth operations.
Coordinate maintenance of office equipment and facilities, ensuring a safe, organized, and clean environment.
Assist with office-related budget planning and track operational expenses.
Support planning and logistics for company events, staff gatherings, and internal initiatives.
Track inventory and assist with stock organization.
Prepare, pack, and ship PR kits; coordinate courier services and shipments.
Executive Support
Manage and coordinate the Managing Director’s daily calendar, accommodating shifting priorities and last-minute changes.
Serve as a professional first point of contact for internal and external stakeholders, screening communications and handling inquiries with discretion.
Prepare materials, presentations, and briefing notes for meetings and strategic discussions.
Assist with special projects, research, and ad hoc tasks to support organizational goals.
Run errands, support day-to-day operational tasks, and contribute wherever needed to ensure organizational efficiency.
Qualifications:
2-3 years of experience in an administrative role
Basic understanding of public relations or communications
Proven ability to thrive in a fast-paced environment with multiple priorities
Strong attention to detail and time management skills
Excellent problem-solving, organizational, and communication abilities
Comfortable multitasking and managing competing deadlines
Experience handling sensitive information with discretion
Proficiency with Google Workspace (Docs, Sheets, Calendar, Drive, etc.)
